North Carolina Museum of Art Streamlines Email Communications through Contactology
DURHAM, N.C.-(Business Wire)-August 5, 2008 - Contactology, a provider of email marketing and online survey technologies, announced that the North Carolina Museum of Art (NCMA) has transitioned from an in-house system to its web-based application to effectively target members and other interested parties with the latest museum news and events.
"After an extensive search that included many national providers, we selected Contactology based on the quality of enterprise-level features and level of personalized service," commented Jennifer Warner, NCMA marketing manager.
Today, multiple departments within the museum send a combined average of almost 33,000 sends per month through Contactology. The museum's education department sends bi-monthly e-newsletters to teachers promoting workshops, family programs, and other educational events. The membership department sends monthly e-newsletters and event invitations to members. The museum's performing arts and film department forwards weekly emails highlighting its seasonal film program. The marketing team sends monthly e-newsletters to opt-in recipients as well as periodic event reminders. Finally, Contactology is also used internally to send a monthly newsletter to over 350 museum volunteers.
Each department has its own log-in to manage their unique contact list and create new content. Content is routed for review and approval to the marketing team to ensure proper formatting and message consistency. In addition, the marketing team is now able to map out a museum-wide email calendar to ensure communication is evenly distributed according to a pre-defined schedule and there is no overlap.
"Although we have different users with a wide variety of experience and skill levels, Contactology has allowed everyone to think like marketers," said Warner. "Contactology has focused our cross-departmental communications together into one cohesive unit - we know that every communication sent is well-written, accurate, properly formatted, and conveys a consistent marketing message."
The greatest success with regards to email marketing the Museum has experienced to date is the ability to effectively monitor and analyze all of the different ways in which they are "touching" contacts with museum-related information. Previously, the Museum did not have a precise way of measuring the effectiveness or success of an email campaign. The Museum can now easily relate a spike in web traffic or event registrations to a campaign. The marketing team is able to track open and click-thru rates to determine interest in certain topics, adjusting future campaigns accordingly.
"Contactology provides us with an inexpensive way to communicate instantly with our target audience," said Warner. "In our case, email is much more economical than a printed mailer. Managing an email address within the system is easier than managing a physical mailing address. If an email is rejected, it doesn't cost us anything. If we send out a mailer to a bad address, we've wasted valuable time and resources."
